Shift swapping without the chaos

"Can anyone cover my Saturday?" shows up in every hospitality group chat. Swapping is fine — but without rules nobody knows which rota is right.
Agree on clear rules
- Swaps are allowed, always with manager approval.
- The employee finds a replacement with the same function or higher.
- At least 24 hours in advance, emergencies aside.
- Through one channel — not the group chat, a note and a phone call.
What to check before approving
- Does the replacement have the right function?
- Does it break the Working Hours Act (12-hour shifts, 11 hours of rest)?
- Is the replacement 16 or 17 and does the shift run past 23:00?
- Does someone end up far above their contract hours?
